Data protection law requires us to have a lawful reason for processing personal information.
Depending on the circumstances, we may process information because:
● It is necessary to provide a service or fulfil an agreement.
● We have a legal responsibility to do so.

Good care sometimes requires different professionals and organisations to work together.

We understand that information about your health, circumstances and personal life is private.
Our employees, contractors and other people working for us are expected to maintain
confidentiality. Access to records is limited to people who need the information to perform their
role.
There may be situations where we have to share information without your permission. This
could include serious safeguarding concerns, a risk of serious harm, or a legal requirement to
disclose information.
Where possible and appropriate, we will explain why we need to share information.

10. How long we keep information
We do not keep personal information indefinitely.
The length of time we retain information depends on what the information is, why we collected it,
and any legal, contractual, or regulatory requirements that apply to us.
Our retention arrangements are set out in our internal records management and retention
procedures.
When information reaches the end of its required retention period, we will securely dispose of it

12. Consent
Where we ask for your consent, we will explain what you are agreeing to and why we need your

You can withdraw consent at any time.
However, withdrawing consent does not affect processing that was already carried out lawfully
before the withdrawal. In some circumstances, we may also have another lawful reason to
continue using the information.
13. Safeguarding and information sharing
Keeping people safe is fundamental to our work.
If we believe that you, another service user or another person may be at risk of abuse, neglect
or serious harm, we may need to share relevant information with appropriate professionals or
authorities.
We will always consider confidentiality and data protection requirements, but these
responsibilities do not prevent necessary information sharing to protect someone from harm.
14. Photographs, video and CCTV
Where photographs, video recordings, or CCTV are used, we will ensure they have an
appropriate lawful basis and are handled securely.
Where consent is required, we will obtain it appropriately.
Images and recordings will only be used for the purposes for which they were collected, unless
another lawful reason permits their use.
We can provide further information about CCTV or photography on request.
